EARlogoElephant Artist Relief Society (EAR) established an annual fundraising event in 2017. Originally titled “Sad Bastards Lonely Hearts Ball”, this event was called “Sad Bastards Bad Luck Ball” in 2018, while the 2019 event has still to be named. The fundraiser will exhibit visual artworks that, in turn, will be auctioned with artist’s opting to retain fifty percent of the sale. The exhibit will culminate in a closing night event that includes live performances from poets, experimental performance artists, and a media art installation whom each receive an honoraria artist-fee. While the closing night event will be one night only, the exhibit will take place over the week prior, and interns are expected to perform follow-up tasks relating to their roles upon conclusion of the fundraiser. Duties will consist of two to five hours a week, with more hours concentrated closer to and during the launch of the fundraiser, and fewer hours required executing wrap-up duties.

As an organization that highlights community, this fundraiser draws out artists from around the Calgary region, and has always been a rocking good time.  The fundraiser is also critically important to replenishing the charity’s Emergency Relief Funds. We are seeking interns to help promote and coordinate this exciting event.

The Sponsorship Coordinator will be responsible for approaching and liaising with sponsors that provide various supplies, beverages, food, and raffle items for Elephant Artist Relief Society’s (EAR) annual fundraising event to take place September of 2019. The Sponsorship Coordinator will take guidance from the Fundraising Chair while also reporting to and attending Fundraising Committee meetings. An operable license and access to a vehicle is necessary. The ideal candidate for this position will represent EAR in a professional manner to the broader business community, have excellent organizing and writing skills, and be comfortable cold-calling and initiating new contacts with managers and owners. To start as soon as possible.

What we will accomplish at the end of the Internship:

  • Manage raffle ticket collection, distribute winner gifts, and provide EAR’s Treasurer with an accounting of the funds raised while at September 13th event.
  • Submit the shareable folder with all documentation, value estimates, and raffle accounting details to EAR’s
  • Fundraising Chair and Administrator by the end of their contract on September 30th.
  • Compose and send appreciation letters to the sponsors, following the September 13th event, to be completed by the conclusion of their contract on September 30th.
  • Schedule and carry out pick-up and deliveries as well as prepare raffle items in time for the September 13th event.
  • Write to and secure written confirmation of sponsorship agreements and keep detailed, and shareable, records of correspondence.
  • Collect donation value estimations from every sponsor that will also be kept in the shareable folder.
